Harefield Embroidery. Last updated: May 2026. Welcome to the Harefield Embroidery website. By placing an order with us, you agree to the following Terms and Conditions. Please read them carefully before ordering.

1. About Us

Harefield Embroidery ("we", "our", "us") provides embroidery, garment printing, branded workwear, promotional clothing, and personalised merchandise services.

These Terms and Conditions apply to all sales, services, and website use.

2. Orders

2.1 Acceptance of Orders

All orders are subject to acceptance and availability. We reserve the right to refuse or cancel any order for any reason, including pricing errors or artwork issues.

2.2 Customised Products

As products are personalised specifically for the customer, it is the customer's responsibility to ensure:

  • spelling
  • colours
  • sizing
  • garment selection
  • artwork approval
  • quantities

are correct before confirming the order.

Once production has started, changes may not be possible.

2.3 Minimum Orders

Certain products or services may require minimum order quantities. These will be advised at quotation stage.

3. Artwork and Logos

3.1 Customer Supplied Artwork

Customers confirm they own, or have permission to use, any logos, trademarks, images, or artwork supplied to us.

We accept no liability for copyright or trademark infringement arising from customer supplied content.

3.2 Artwork Quality

Print and embroidery quality depends on the quality of artwork supplied. Additional artwork preparation or digitising charges may apply.

3.3 Digitising Fees

Embroidery logos may require a one-time digitising/setup fee unless otherwise agreed.

Digitised embroidery files remain the property of Harefield Embroidery unless explicitly transferred in writing.

4. Colours and Garments

We make every effort to accurately display garment colours and print finishes.

However:

  • screen displays may vary
  • embroidery thread shades can differ slightly
  • garment dye lots may vary between manufacturers

Minor variations are not considered faults.

5. Pricing and Payment

5.1 Prices

All prices are shown in GBP (£) unless stated otherwise.

Prices may change without notice.

5.2 VAT

VAT will be charged where applicable.

5.3 Payment Terms

Orders may require full payment before production begins unless a credit account has been agreed.

Accepted payment methods may include:

  • bank transfer
  • debit/credit card
  • online payment services

Late payments may delay dispatch.

6. Production and Delivery

6.1 Lead Times

Estimated production and delivery times are provided as guidance only and are not guaranteed.

We are not liable for delays caused by:

  • suppliers
  • couriers
  • stock shortages
  • artwork approval delays
  • events outside our control

6.2 Delivery

Risk transfers to the customer once goods are delivered.

Customers should inspect deliveries promptly and notify us of shortages or damage within 48 hours.

7. Returns and Refunds

7.1 Personalised Goods

Due to the customised nature of embroidered and printed products, personalised items are non-refundable unless faulty or incorrectly supplied.

7.2 Faulty Items

If an item is faulty, damaged, or incorrect, customers must contact us within 7 days of receipt with:

  • photographs
  • order details
  • description of the issue

We may offer:

  • replacement
  • repair
  • refund

at our discretion.

7.3 Non-Personalised Items

Non-customised stock items may be returned unused within 14 days, subject to approval.

Return postage is the customer's responsibility unless the item is faulty.

8. Sizing

Customers are responsible for checking garment sizing before ordering.

Sizing guides are provided where available. We cannot accept returns for incorrectly ordered sizes on customised garments.

9. Intellectual Property

All website content including:

  • logos
  • branding
  • graphics
  • photographs
  • text

remains the property of Harefield Embroidery and may not be copied or reproduced without permission.

10. Limitation of Liability

Our liability shall not exceed the value of the goods supplied.

We are not liable for:

  • indirect losses
  • loss of profits
  • business interruption
  • delays outside our control

11. Privacy

Customer information is used only for order processing, communication, and business administration in accordance with our Privacy Policy.

We do not sell customer data to third parties.

12. Force Majeure

We shall not be liable for failure or delay caused by events beyond reasonable control, including:

  • supplier failures
  • industrial disputes
  • severe weather
  • transport disruption
  • cyber incidents
  • government restrictions

13. Governing Law

These Terms and Conditions are governed by the laws of England and Wales.

Any disputes shall be subject to the exclusive jurisdiction of the English courts.
